We are seeking a dynamic and proactive coordinator to join us at the Institute of Physics.

The role

This is an exciting role that provides coordination and administration support to the Science and Innovation department and its activities, working with physicists in academia and business.

Responsibilities include:

  • Supporting committees and project boards overseeing, for example, the conference of undergraduate women in physics and the Mayneord Phillips Education programme. This involves taking minutes, working with partner organisations and coordinating development of content.
  • Managing the IOP’s travel bursary schemes for early career physicists, includes marketing, managing application approval process, arranging payments, collating conference reports and monitoring diversity and inclusion metrics.
  • Carrying out marketing activities, including preparation of marketing collateral, delivering e-campaigns, arranging advertising and carrying out telephone campaigns.
  • Organising department meetings, events, workshops and away-days.
  • Handling diaries and making arrangements for travel and accommodation.
  • Supporting financial procedures by preparing expenses forms, cheque requisitions, invoices and processing expenses.

The Person

We are looking for a professional who is a team player with previous experience as a project coordinator or personal assistant. Practical knowledge of using CRM systems, Word, Excel, Outlook and PowerPoint and experience working in a customer facing role are essential.

The successful applicant will have excellent communication (written and verbal) and interpersonal skills, and will be personable and committed to customer focus. They will also have the ability to maintain the technical skills and knowledge required to undertake the tasks of this demanding role.

They will take responsibility for personal learning and improvement and will have the ability to measure and manage their work: takes responsibility for tasks and decisions; sets clear objectives and measures; monitors process, progress and results.
